Tuckahoe PTA Committees & Descriptions

The goal of the Tuckahoe PTA is to support, enrich and enhance the educational experience of our students K-12.  To accomplish this, we need PARENTAL INVOLVEMENT.  We are always looking for fresh ideas and helping hands.  There are positions available every new school year, including chairpersons, committee members, room representatives (for each grade level), and dance mothers.  There are also Cottle, Middle and High School committees.

All Executive Committee Members and Chairs of Executive Board must make a commitment to report at the monthly PTA Executive Board meeting. Chairs meet with their committees on their own schedules to get their designated work done.

EXECUTIVE COMMITTEE

President [must have two years experience on PTA board to qualify]:  Prepares agenda and presides at monthly meetings; signs all contracts and checks; prepares the calendar for the year; is the public face of the PTA

President-Elect [must have two years experience on PTA board to qualify]:  A one-year term to act as an aide to President and learn the workings of the executive board; must preside over meetings if President is unable.  After first year will automatically become President for a two year term

1st Vice-President: Assist the President with duties, as needed.  Stand in for President if there is no President-Elect.

Vice-Presidents:  Three teachers (one from each school) who act as liaison to the teaching community

Recording Secretary:  Records the minutes of all PTA meetings and prepares and distributes to all executive board.  Assists the President with agenda.  Maintains a permanent file of minutes.

Corresponding Secretary:  Sends notices of all meetings to executive committee and executive board; maintains file of all correspondence

Treasurer [must have two years experience on PTA board to qualify]:  Custodian of all funds; reconciles and pays receipts of committee expenditures; prepares and distributes budget for monthly meetings; keeps track of budget lines; keeps insurance current.

EXECUTIVE BOARD (COMMITTEES)

Community/School/Human Relations

Selects and presents a gift to Cottle and the MS/HS on behalf of the Board of Education on Recognition Night.

Organizes Teacher Appreciation Luncheons and Breakfasts at Cottle and the MS/HS.

Handles recognition of Administrative Assistants, School Nurses and Custodial Staff on their respective National  Appreciation Days.

Community Services Committee

Community Services Committee will arrange for our students to be directly involved with our projects. In its first year, we will participate in 4 major community service projects, one project per school and one project district wide.

Projects:
Our elementary school will interact with our local senior community.
Our middle students will donate their time to a shelter in need.
Our high schoolers will work with habitat for humanity.
Benefit: We wanted our children to have more of a ''hands on'' involvement in doing community service. It helps our students and families feel that they are helping the less fortunate.

The Committee would also meet with school guidance counselors as well as principals to get their support and involvement, as well as their suggestions!

Cottle Committee

Works with the Cottle Principal to help organize and support different school projects and events.

Runs Halloween Party and Field Day, and 5th Grade/Kindergarten graduation hospitality.

Arranges for the 5th Grade graduation gift to the school.

Cultural Arts

Initiates ideas and works with principals and teachers to coordinate student enrichment programs (assemblies, workshops, field trips) at Cottle, TMS and THS.   Chairs and/or committee members must attend all performances.

Dance

(K-8)  Oversees and manages the after-school dance program for Cottle and TMS.  Organizes the dance mothers and arranges for the Spring Recital.

Health/Nutrition/Safety

Provides information and sponsors activities in the area of health, nutrition and safety for the school community.  Duties may include monthly meetings with the superintendent to discuss safety issues.

Lunch Bunch:  a program run by volunteer parents to get children moving during recess when going outside is unavailable.

High School

Collaborates with THS Principal to help organize and support different school projects and events. 

Runs the 12th Grade graduation hospitality and arranges for the 12th Grade graduation gift to school.

Hospitality

Provides refreshments at PTA school functions (Cottle, TMS and THS "Back to School" nights, PTA general meetings and numerous other special events/programs sponsored by the PTA).

Math and Science Committee

The Math and Science Committee will help promote a life-long love of math/science for our K-12 students and their families by assisting with school science fairs,  and coordinating math and science themed assemblies and after-school classes. This committee will also work to make students aware of the variety of Math and Science based competitions that take place in and around our community.  Duties include working with all three school principals, the Teacher Science Committee, researching programs, scheduling events, and recruiting and organizing parent volunteer helpers.

Membership

Organizes annual PTA membership drive.

Middle School

Collaborates with TMS Principal to help organize and support different school projects and events.

Runs the 8th Grade graduation hospitality and arranges for the 8th Grade gift to the school.

Mini-Courses

Develops, coordinates and recruits instructors for after-school enrichment courses at Cottle School during the winter.  Parents may volunteer to run a course, or to help supervise getting children to and from their after-school classes.

Parents as Reading Partners

Coordinates with Cottle Librarian to bring in an author assembly/book signing/luncheon in the month of March.

Pre-K Committee

Works with the Preschool teacher to help organize and support different school projects and events.

Programs

Arranges programs and guest speakers geared towards parents for PTA general meetings, including Recognition Night.

Public Relations/Communications

Communicates news of PTA events to school district and community via school outlets (Cottle Weekly, K-12 Alerts, Channel 77, website, etc.) in conjunction with PTA chairs and district webmaster. Also provides information to news outlets (local papers, Channel 12, etc.) regarding school activities. Maintains PTA email and forwards pertinent information to PTA Chairs.  Maintains and updates PTA website in conjunction with District webmaster. Forwards all PTA flyers and printed material for posting on PTA Website.  Advises all PTA chairs to keep documentation of all PTA flyers and correspondence for filing at year-end. Coordinates the PTA ads for the yearbook of each school.

Room Representatives

Recruits parents for class representatives as well as assists district in contacting parents in case of early dismissal.

Arranges Room Rep Tea to introduce class reps to their teachers

Coordinates with class reps to clean up/set up for Kindergarten/5th Grade graduations, as well as DARE graduation

Scholarship

Reviews student criteria, essays, accomplishments to select recipients for yearly scholarships.  Works with guidance office to get applications to and from students.

Special Education

Coordinates speakers on special education issues

Way and Means (FUNDRAISING)

Develops and implements ideas for raising the funds to support the PTA budget, which in turns supports ALL SCHOOLS.  All these fundraisers welcome any parents who would like to volunteer their time.  There is one chair overseeing several subcommittees:

Spring Social:   Dinner/Dancing/Prizes, the most important fundraiser of the year.

Boutiques:        Holiday “stores” at Cottle twice a year to allow children to buy gifts

Clothing:           Coordinates buying and selling of school spirit clothing

Gift Wrap:         Wrapping paper and other gift sales at Cottle and TMS

Photographs:    Coordinates school photo-taking at all three schools

Welcoming Committee

Serves to welcome and orient families who are new to any of the Tuckahoe schools, including organizing meet-and-greet events, compiling an explanatory Welcome Packet describing special events at each school, assisting with kindergarten registration, and recruiting parents to act as “Ambassadors.”
